Bookings

Bookings will only be confirmed once Adventure Activities Wales (AAW) have received either the deposit or the full amount for your activity.

Once the deposit or the full amount has been received, AAW will send you a confirmation email that will include a google maps pin to the meeting point for the activity, your Booking Information Sheet (BIS) and Acknowledgement of Risk and Responsibility Form (ARRF). If a deposit has been paid, the confirmation email will also include a link to pay the remaining amount for the activity.

ARRF needs to be completed and signed by every group member prior to the activity. It is the group organisers responsibility to distribute these documents to all your group members prior to the activity. Any group member who does not fill in and complete the ARRF will not be entitled to join the activity.

On the BIS you will find all your booking information, a short paragraph describing the activity and further information you need to know about the activity and what equipment each group member must bring. If you do not bring the right equipment AAW reserves the rights to cancel your activity, at which point, you will not be entitled to any refund.

Deposit

You need to pay a deposit or the full amount to confirm your booking.

Deposits are refundable up until a month before the date of your booking. If you wish to cancel your booking within a month of the confirmed date then your deposit will be forfeited.

Paying the remaining balance/ full amount

The remaining balance/ full amount is required 2 weeks prior to the start of your activity/ activities.

If the remaining amount/ full amount is not paid 2 weeks prior to the start of your activity/ activities, AAW reserves the right to cancel your activity and fill the date/ time with another booking, in which case you will forfeit your deposit.

AAW will send you a reminder email within 1 week before the remaining amount/ full amount is due.

Changes and Cancellations by Client

If you wish to make any changes or cancel your activity/ activities, please get in touch with AAW as soon as possible. AAW reserves the right to reject any requests to make changes to your booking. AAW is usually very understanding and open to any requests for changes.

Any changes you make may be subject to additional charges including from the loss of any discounts previously awarded, for example, but not limited to; a change in group numbers.

Increasing your group size or changing your activity/ activities may require additional staff members, which may not be possible depending on when you wish to make the changes.

Changing the date or start time of your activity/ activities may or may not be possible.

If you cancel your activity/ activities within a month of the first activity start date, you will forfeit your deposit.

If you cancel your activity/ activities within 2 weeks of the first activity start date, you will forfeit the full amount paid.

Changes & Cancellations by Adventure Activities Wales

Adventure Activities Wales reserves the right to make changes or cancel your activity/ activities due to any unforeseen circumstances such as, but not limited to; poor weather, illness, changes in freedom of movement, etc.

If AAW has to make changes or cancel your activity for one of the reasons above, you will be entitled to full refund, or be offered the opportunity to change your activity and/or rebook the activity on a different date.

If any group/ group members violate any of the rules set out in the participant’s code of conduct (found in the ARRF document), AAW instructors will be entitled to cancel/ call an abrupt end to the activity, at which point, the people in concern will not be entitled to any refund.

Covid19 Policy

In these unusual circumstances we’d like to offer you what help we can.

If any booking needs to be cancelled or rearranged due to changes in the COVID 19 guidelines, or positive covid tests, please get in touch. Full refunds will be given in these circumstances (after proof is provided). Alternatively, you’ll be able to rearrange your booking for no extra charge at the next suitable date if you wish to.
